Terms of service

1. The service

One School is online software for running a school: students and staff, fees, attendance, timetable, exams, transport, communication with parents and related features. We may improve, change or add features over time. We will not remove a core feature you are paying for during your subscription year without notice.

2. Accounts and access

The person who signs up confirms they are authorised to act for the school. The school decides who gets access and with what role, and is responsible for keeping the list of users up to date and for everything done through its account.

Users sign in with one-time codes sent to their phone. Do not share codes or let others use your account.

3. Free trial

New schools get a free trial of 14 days with all features. No payment details are needed. When the trial ends, you can choose a paid plan to continue. If you don't, access to the dashboard is paused after a short grace period; your data is kept for 90 days so you can resume or export it.

4. Fees and payment

One School is sold as a yearly subscription at the price shown on our pricing page when you subscribe, plus GST. The subscription is billed in advance for the year.

Fees paid by parents to the school go directly to the school's own payment account or UPI ID. We are not a party to those payments and do not hold the school's money.

If payment for a renewal is not made, we may pause access after giving notice.

5. Cancellation and refunds

You can cancel at any time. If you cancel during a paid year, we refund the unused full months pro rata, as described in our Cancellation and refund policy.

6. Your data

The school owns the data it puts into One School. We process it only to provide the service, as described in our Privacy policy. You can export your data at any time while your account is active and for 90 days after it ends.

The school is responsible for having a lawful basis for the data it enters, including any consent needed from parents or guardians for students' data.

7. Acceptable use

• Do not use One School for anything unlawful, or to send spam or misleading messages.
• Do not try to access other schools' data, test our security without permission, or disrupt the service.
• Do not upload content you don't have the right to share, or harmful software.

We may suspend an account that breaks these rules, after notice where reasonable.

8. Messages

The school is responsible for the content of messages it sends to parents and staff through One School, and for following the rules for SMS and WhatsApp in India, including DLT registration where it applies.

9. Availability and support

We work to keep One School available at all times, but there may be short interruptions for maintenance or for reasons outside our control. We provide support by phone, WhatsApp and email during working hours.

10. Liability

One School is provided with reasonable care and skill. To the extent the law allows, our total liability for any claim is limited to the subscription fees the school paid in the twelve months before the claim, and we are not liable for indirect losses such as lost profits. Nothing here limits liability that cannot be limited by law.

11. Ending the agreement

Either party may end the agreement: you by cancelling your subscription, and we with 30 days' notice, or immediately for a serious breach of these terms. On ending, we will refund any amount due under the refund policy and keep your data available for export for 90 days.

12. Governing law

These terms are governed by the laws of India. Disputes will be subject to the courts of Chennai, Tamil Nadu, after both parties have tried in good faith to resolve them by discussion.

13. Changes

We may update these terms. We will give at least 30 days' notice in the app of changes that materially affect you; continuing to use One School after that means you accept the new terms.
